Zapier and n8n are both platforms for building automated workflows that connect applications. They address the same fundamental need — moving data between systems without manual intervention — but they take different approaches that suit different use cases and different types of organisations.

Zapier: simplicity and breadth

Zapier is built for accessibility. Its interface is designed for non-technical users to create automations without writing code. It offers connections to thousands of applications, making it easy to build integrations across a wide range of tools.

Zapier's strengths include:

  • Ease of use. The visual builder and extensive template library mean that most automations can be created without technical expertise.
  • Application breadth. Zapier connects to more applications than any competitor, which means it is likely to support the tools your business already uses.
  • Reliability. As a mature, managed platform, Zapier handles the infrastructure so you do not have to.

Zapier's limitations include:

  • Cost at scale. Pricing is per task, which can become expensive for high-volume workflows.
  • Limited complexity. Zapier is designed for linear workflows. Complex branching logic, error handling and multi-step transformations are possible but can become unwieldy.
  • No self-hosting. Zapier is cloud-only. Businesses with data residency or security requirements that require on-premise deployment cannot use it.

n8n: flexibility and control

n8n is built for flexibility. It is open-source, can be self-hosted and provides more control over workflow logic than Zapier. It is designed for users who are comfortable with technical configuration and who need workflows that go beyond simple linear automations.

n8n's strengths include:

  • Cost control. Self-hosting means no per-task pricing. The cost is the infrastructure to run it.
  • Workflow complexity. n8n supports complex branching, error handling, custom code and multi-step transformations that would be difficult or impossible in Zapier.
  • Data control. Self-hosting means data stays within your infrastructure, which addresses security and compliance requirements that cloud-only platforms cannot.

n8n's limitations include:

  • Technical requirement. n8n requires more technical expertise to set up and maintain than Zapier.
  • Infrastructure management. Self-hosting means you are responsible for the infrastructure — updates, security, availability.
  • Smaller integration library. n8n has fewer pre-built integrations than Zapier, though it compensates with the ability to build custom integrations.

Which to choose

The choice depends on your requirements:

  • Choose Zapier if ease of use is the priority, the workflows are relatively straightforward and the per-task pricing is acceptable for your volume.
  • Choose n8n if you need complex workflow logic, have data residency requirements, or expect high volume that would make Zapier's pricing uneconomical.
  • Consider both if you have a mix of simple and complex workflows — Zapier for the straightforward automations and n8n for the ones that require more flexibility.
